Project checklist

What do you need for a sign quote?

The information that turns “we need a sign” into a useful project brief.

The key idea

Start with your business name, location, logo, a few site photos, and your target date. You do not need every technical detail before reaching out; the first step is defining what is known and what still needs to be confirmed.

1. The business and the site

Provide the business name exactly as it should appear and the full project address. Identify whether this is a new opening, a replacement, a brand refresh, or a multi-location program.

Include the person who can approve the project and, when different, the person who can provide site access. For multiple sites, send a location list rather than combining all addresses into one description.

2. The best artwork you have

Send the available logo files, brand colors, and any franchise guidelines. Vector artwork is useful, but you can begin the conversation with the files currently available. Artwork preparation can then be identified as part of the scope.

Clearly distinguish approved brand artwork from a reference image or an early concept. Confirm any descriptor, tagline, or secondary wording that belongs on the sign.

3. Photos that show the context

Photos support the initial conversation. They do not replace any measurements or site verification required for final production and installation.

  • A straight-on view of the storefront or interior wall
  • A wider view showing adjacent surfaces and access
  • A close-up of an existing sign or proposed mounting area
  • Any available drawings or approximate dimensions

4. Criteria, dates, and responsibilities

Share landlord sign criteria, brand standards, construction contacts, and known approval requirements. Note the target opening date and any limits on work hours or deliveries.

Tell us what others will handle. Removal, repairs, electrical work, approvals, delivery receiving, and access equipment should each have a clear owner when relevant.

5. Send what is ready

Do not delay the conversation because one item is missing. A useful inquiry separates confirmed details from assumptions and unanswered questions.

Avoid sending sensitive personal records, access passwords, financial details, or confidential customer information through a general quote form. Non-sensitive artwork and site information are enough to begin.

  • Identify what is confirmed
  • Flag what is still undecided
  • Explain the deadline
  • Ask what is needed next
